How to Upload Files to Trackmymail.com : Mailing Detail Data File

What is the Mailing Detail File?
The Mailing Detail Data file allows you to use the Single Piece Report and see which individual’s mail pieces have been delivered, and more importantly, which ones have not. Depending on your preferred lookup options, you can upload a file with a client name and address, or use another reference such as an account number. If you prefer to upload only a portion of your Planet Coded pieces, your seed names, for example, the information in the report will be limited to this group.

If you provide a Mailing Detail Data file, Trackmymail.com will automatically create a ZIP Count/Map file for you. You do not have to create both files. All you need to do is to select the option to “Create a ZIP Count/Map file from this data” as part of the upload process.

Creating a “Mailing Detail Data” file
Creating the file for mailing detail is easy. You have two options in creating the fields for your file. You may choose to parse your name fields or use non-parsed name fields. These two examples are shown below.

Option 1- Name is not parsed, contained to one field.

The fields, order and maximum length of characters in the field are as follows:
(This file MUST have 10 fields even if there is no data in the non-essential fields- the postnet field is optional.)

Important: Each field must be represented whether or not it is populated. Your non parsed name files (option1) will always have at least 10 fields- the postnet field is optional. Please do not include header rows in your file.

Option 2- Name is parsed out into multiple fields.

The fields, order and maximum length of characters in the field are as follows:

Important: Each field must be represented whether or not it is populated. For example, your parsed name files will always have at least 14 fields (Field 15 is the postnet field and it is optional in both formats.) and your non parsed name files will always have at least 10 fields. Please do not include header rows in your file.

Please save your file as a .txt or .csv file. Trackmymail.com’s automated upload system does not accept Excel files.

Uploading the file to your account:
1. Click on the “Uploads” tab in your account.
2. Select Upload Mailing Detail Data
3. Provide email information
4.Hit “Continue.”
5. Browse for your .txt file, select and “upload”
6. You have an option to replace existing data, or automatically add to existing data that you may have already uploaded.
7. You may also create a ZIP Count/Map file from this data.

You will receive an email from customerservice@trackmymail.com after you upload your file. This will indicate a successful upload, or notify you of any problem.
